The problem
Records you can't find are records you don't have
BC's Employment Standards Act asks employers to keep detailed records for every employee. Most hospitality operators keep them across binders, spreadsheets, and filing cabinets. Your HR adviser tells you what to keep. Duty Room keeps it in one place.
- Average Employment Standards determination1
- $8,500
- Plus back-pay orders and potential director liability
Today
- Hours-of-work records in a spreadsheet, or just the POS system
- No written record of wage rate or pay period given to new hires
- Overtime calculated manually, or not tracked at all
- Vacation entitlement tracking in someone's head
- Statutory holiday pay done last-minute and often wrong
- Tip pool arrangements taken without documenting the policy
With Duty Room
- Live employment records per site
- New-hire checklist with wage, hours, and pay period on file
- Hours-of-work records with overtime tracking
- Vacation entitlement tracker per employee
- Statutory holiday pay calculation support
- Export or share in one click

3
Your HR adviser sees follow-through

Questions & Answers
Does Duty Room replace our HR adviser or employment lawyer?
No. Your HR adviser or employment lawyer decides what applies to your business. Duty Room helps you and your adviser stay aligned on the records and follow-through.
How long does setup take?
Under 10 minutes to activate and invite your team. Loading the records your adviser has flagged takes as long as you have time for.
Do I need to be technical?
No. If your team can use a phone, they can use Duty Room.
How does BC overtime work?
In BC, overtime kicks in after 8 hours in a day (time-and-a-half) and after 12 hours (double time). Weekly overtime applies after 40 hours. Duty Room tracks hours and flags when thresholds are crossed.
What records must I keep under the ESA?
Employers keep records of hours worked, wages paid, deductions, vacation entitlement, and statutory holiday pay for each employee, for at least four years after employment ends. Your HR adviser can confirm what applies to your business.
Does this handle tip pooling?
Duty Room gives you a place to log tip handling and any tip pool arrangement. Your HR adviser or employment lawyer can confirm what is and isn't allowed under BC law.
Can my HR adviser access the account?
Yes. Invite them in and they see the same live view of records and follow-through. No extra cost.
Where is my data stored?
Canadian-hosted infrastructure. Your data stays in Canada.
Is this proof of legal compliance?
No. Duty Room gives you organised records of the work you have done. Your HR adviser or employment lawyer is the one who judges whether those records meet your obligations.
What can I export if I leave?
Everything. Your data is yours.
